Hardware Shop Bill Format — With a Filled Example
Updated 19 September 2026
A hardware shop bill is a tax invoice for goods sold over a counter, and the format differs from a services invoice in one visible way: it carries an HSN code against every line, because hardware is goods. It also usually carries a discount column, because counter sales are where discounts actually get given. The example below is a four-line hardware bill with both.
What makes a hardware bill different
Hardware is goods, so every line has a code. Wall putty, PVC pipe, hinges and brushes each sit in a different HSN chapter, and the same product should carry the same code on every bill the shop raises.
The second difference is the shape of the lines. A hardware bill tends to have several short lines rather than one long one, and the units are the units the trade uses — a bag, a length, a pair, a dozen — which is why those words belong in the item description rather than being left to the reader.

Discounts on the line, not at the bottom
A discount can be given on the whole bill or on a single line, and a hardware bill normally does the latter — the discount on a bulk quantity of hinges has nothing to do with the price of paint.
Where the discount sits changes the arithmetic. A line discount reduces that line's taxable amount, so the tax on that line is calculated on the reduced figure. A discount applied after tax reduces the amount payable without touching the tax, which is a different outcome for the same percentage. Putting the discount on the line is what keeps the tax correct.
Units, and why they belong in the description
There is no separate unit field on an invoice line, so the unit has to be written where the item is. "2" beside "River Sand" could be two bags or two truckloads. "2 brass, delivered" cannot be misread.
This matters most on a counter bill, where the person reading it later may not be the person who took the goods.
Rounding, and why the figures have to add up
Tax calculated per line rarely lands on a whole rupee, so an Indian invoice normally rounds the grand total to the nearest rupee and prints the difference as a round-off line. That line is not a discount and not a charge — it is the adjustment that makes the printed figures reconcile with each other exactly.
What matters is that the rounding happens at the end, on the total, rather than on each line. Rounding every line as it is written introduces a small error per row, and a bill with ten rows can end up a few rupees away from the sum of its own lines — which is the first thing a customer checking the total by hand will notice.
Counter sales and the day's numbering
A shop counter produces a run of small bills rather than a few large ones, so the numbering sequence is doing more work here than it does on a services invoice. A number that is unique, sequential and visibly part of one series is what makes it possible six months later to tell whether a bill is missing.
Keeping the series continuous through a financial year is the usual approach, with the year visible in the prefix — INV-26-27-0001 for the year beginning April 2026 — so the series can restart cleanly without a number ever repeating.
HSN codes and how many digits
The number of HSN digits a business is expected to show depends on its turnover. That threshold is a question for a CA. What the invoice needs is that the code printed is the code for the goods on that line, and that it is the same code next time.
GST on hardware varies by product rather than by shop, so a single bill frequently carries more than one rate. Where that happens the invoice breaks the tax out rate by rate rather than showing one combined figure.
Common questions
- Does a hardware shop bill need HSN codes?
- The requirement depends on the business's turnover, which is a question for a CA. The field is on every line either way.
- Can a hardware bill mix different GST rates?
- Yes. Each line carries its own rate, and the tax is summed into a rate-wise summary so each rate can be read separately.
- Should a small counter sale get a bill?
- Whether a bill is required for a particular sale depends on the sale and on the business's registration. That is a question for a CA rather than a formatting one.
- How do I bill a discounted item?
- Enter the discount percentage on that line. The line's taxable amount is reduced first and the tax is then calculated on the reduced figure.
