Freelance Invoice Format India — Services, No HSN
Updated 19 September 2026
A freelance invoice is a tax invoice where the lines are services rather than goods, which means the HSN column is not used and the description of each line has to do more work — it is what tells the client what they are paying for. Everything else is the same as any other invoice: number, dates, tax, total and the amount in words. The example below is a three-line invoice for design and development work.
The one structural difference
There is nothing on a freelance invoice that is not on any other invoice. What changes is which fields are actually used: the item column carries a description of work rather than a product name, the code column is empty, and the quantity is usually 1 for a fixed-scope piece of work or a count of days, hours or screens for the rest.
Because the code column is empty on every line, the table drops it. An invoice with a column of dashes down the middle is harder to read than one that simply does not have the column.
Make the description carry the scope
On a goods invoice the item name is enough — "PVC Pipe 25 mm" identifies the thing. On a services invoice it is not, because "design work" could be two hours or two months. The line description is the only place on the sheet where that can be pinned down.
- Name the deliverable, not the activity — "Responsive marketing site, 8 pages" rather than "web development".
- State the unit being billed — a day, an hour, a screen, a milestone, or the whole piece.
- Put the period on anything recurring, so the client can match the invoice to a month.
- Reference the agreement or purchase order number where there is one, in the notes rather than the line.
A filled freelance invoice
Three lines below: a fixed-price build, a count of design screens, and a monthly retainer with the month written into the description. No HSN column, and the seller block carries no GSTIN — which is the common position for a sole proprietor below the registration threshold.

GSTIN and whether to charge GST
Whether a freelancer needs to register, and whether a particular engagement attracts GST, depends on turnover, on the nature of the service and on where the client is — including whether the client is outside India. None of that is a formatting question, and the answers change the document rather than just its layout.
That is a conversation to have with a CA, ideally before the first invoice goes out rather than after. What this page and the example cover is the shape of the document once those answers are known.
Retainers and repeating invoices
A retainer is the same invoice every month with the period changed, so the description should name the month explicitly rather than saying "monthly retainer". A client matching the invoice against their own records needs to see August in the line, not infer it from the date in the corner.
Where a retainer runs for a fixed term, the terms section is the right place to say so, along with what happens at the end of the term. On a monthly invoice the reader is often not the person who agreed the retainer, and the sheet should stand on its own.
Invoicing a client outside India
An invoice to an overseas client is the same document, with two changes: the currency is stated, and the amount in words is written in that currency rather than in rupees. Everything else — number, dates, lines, total — is unchanged.
Whether such an invoice carries GST, and at what rate, depends on where the client is and on the nature of the service. That is squarely a question for a CA, and the answer changes the tax rows on the sheet rather than just the amount.
Payment terms and late payment
A due date on a freelance invoice is not decoration. Stating one, and stating any late fee alongside it in the terms, is what makes the date mean something later.
Putting the bank and UPI details on the invoice itself — rather than in a separate email — is the other thing that reliably gets an invoice paid sooner. The example below includes them; on the sheet they appear in the footer with a scan-to-pay code.
Common questions
- Does a freelancer invoice need an HSN or SAC code?
- Services use SAC codes rather than HSN, and whether they have to be shown depends on the business's turnover — a question for a CA. Leaving the column off entirely is common for small freelancers.
- Can I invoice as an individual rather than a company?
- Yes. The seller block takes a person's name as readily as a company's, and the business name field can carry a trading name or be left as the individual's name.
- What should I write in the description of a freelance invoice?
- The deliverable and the unit being billed. Somewhere on the sheet the client should be able to see what was produced and what period or count it covers.
- Should a freelance invoice have a due date?
- Yes. Stating one, along with any late-payment term, is what makes the date enforceable later.
